Our policies prioritize guest safety, sustainable tourism, and customer satisfaction. We also value transparency and accountability, making sure that every step of your journey with Ngenda is secure and well-organized. Our policies are designed to protect both the traveler and the environment, ensuring responsible tourism that sets a standard of trust and professionalism.
Booking Policies
All bookings with Ngenda Tourism Services are governed by the laws of the United Republic of Tanzania, with Arusha as the place of jurisdiction. We reserve the right to decline any booking where necessary.
Deposit & Payment Policies
A 30% deposit is required to confirm a booking, with the balance due at least four (4) weeks before the start of the tour.
Bookings made within four (4) weeks of departure must be paid in full at the time of confirmation.
Bank transaction charges are the responsibility of the client or agent. The amount invoiced must reflect in our account in full.
Booking Amendments
Amendments to confirmed bookings (e.g., date changes, accommodation, participants) may incur a handling fee of USD 50 per booking, in addition to any service provider fees.
Cancellation Policies
All cancellations must be communicated in writing. Cancellation fees apply as follows:
→ More than 8 weeks (57+ days): Deposit forfeited
>> 6–8 weeks (29–56 days): 40%
cancellation fee
>> 15–28 days: 60% cancellation
fee
>> 8–14 days: 80% cancellation
fee
>> 7 days or less: 100% cancellation
fee
Ngenda reserves the right to cancel tours when unavoidable, with full refunds issued for payments already received.
Passports, Visas & Travel Documents
Clients are responsible for ensuring passports, visas, health certificates, and required travel documents are valid and in order before departure.
Ngenda Tourism Services cannot be held liable for issues arising from incomplete or invalid documentation.
Baggage
Clients are responsible for their baggage at all times. Ngenda is not liable for loss or damage of personal effects.
Each client is allowed one soft bag (max 15kg) and a daypack. Trekking tours or bush flights may have stricter limits.
Note: All tours involve some level of adventure and personal risk. Clients agree to indemnify Ngenda and its staff against claims arising from such risks.
Authority On Tour
Decisions made by Ngenda’s guides/drivers during tours are final and binding. Clients must comply with the laws and customs of all countries visited.
Marketing
Ngenda reserves the right to use photographs and videos taken during tours for marketing purposes. By booking, clients consent to this usage unless otherwise stated in writing.
Force Majeure
Circumstances beyond our control (e.g., war, weather, mechanical breakdowns, strikes, natural disasters) may cause delays or changes to tours. Ngenda is not liable for such occurrences.
Price Changes:
Prices are based on current park fees and government taxes. Should these
increase unexpectedly, Ngenda reserves the right to adjust package prices
accordingly.

Passports, Visas & Other Travel Papers
It is the client’s sole responsibility to ensure that passports, visas, health certificates, proof of vaccinations and any other documentation required are all in order for the countries to be visited.
The Company cannot be held liable for any consequences, damages or claims if the client does not attend correctly to the client’s documentation and related matters prior to commencement of the tour.
Baggage
At any time, all baggage and personal effects are at the client’s responsibility and the Company does not accept any liability for any loss or damage of any personal effects, howsoever arising.
Clients are entitled to one bag of not more than 15 kg (backpack or soft bag – no hardtop suitcase) and a daypack. The Company reserves the right to refuse excess baggage. Please notice that on our trekking tours and on some “bush” flights other baggage regulations may apply.
Note:
The client accepts that all tours are of an adventurous nature and involve
an element of
personal risk. Neither the Company nor any of its agents can be held liable
in any way for any
injury, loss of life or damage to property, howsoever caused. The client
hereby indemnifies
the Company and will hold the Company, its agent, assigns and servants
harmless from any such
claim. The client accepts full responsibility for all risks involved.
Authority On Tour
The decisions of the Company’s guide/driver on tour shall at all times be
final and binding.
The client must at all times comply with the laws, customs and foreign
exchange
regulations of all countries visited.
Marketing
The Company reserves the right to use any photographs and videos taken during tours for marketing or any other advertising material. The client hereby gives consent to use such photographs and authorises the Company to retain copyright for these photographs and such material
Force Marjeure
Unforeseen circumstances including but not limited to war, mechanical breakdowns, weather, riots and other unforeseen reasons beyond the control of the Company may cause delays or alterations to the tour. The Company shall not be held liable in any way for any of these possible occurrences or any consequences, which may arise as a result of these.
Price Changes:
All our prices are based on the current national park fees and taxes. Should
the authorities
decide on increasing fees and taxes, even though they might currently not be
scheduled, we
would subsequently have to pass on these increases.
